Documentation table: checklist for officials
Use this with the documentation check sheet from the print pack. Full detail is in the Documentation day runbook in the help centre.
Before the table opens
- ☐ Documentation check sheet printed this morning (not yesterday)
- ☐ Entry list printed, and a pen for every official
- ☐ Scrutiny tags and spare paper declaration forms to hand
- ☐ Bulletins read, so you know about any late change
For each crew
- ☐ Find the row by number or name
- ☐ Driver and co-driver are both present
- ☐ Licence shown matches the sheet: number, grade and expiry after the event date
- ☐ Every column reads Yes, or you have checked it yourself
- ☐ Declarations: Yes means signed online. Outstanding means a paper form is signed now, because online signing closes when the event starts
- ☐ Vehicle and class match what is on the sheet
- ☐ Initial "Signed off" on the row
If there is a problem
- Licence missing, wrong or expired. Do not sign off. Send the crew to the secretary, who decides under the sanctioning body's rules.
- Declaration unsigned. Online signing stays open after acceptance only until the event starts, so on the day it is closed. Use the paper form and note it on the sheet.
- Late change of car, class or co-driver. Tell the secretary. They record it on the entry with a reason, then reprint the tag and start order.
- Crew not on the sheet. Their entry is not accepted. Check the entry list.
