Issue the supplementary regulations

Generate the supplementary regulations from your event, send them for approval, issue the PDF and amend them by bulletin.

The supplementary regulations are built from your event record, so the dates, classes, fees, officials and required documents are never typed twice. Once you issue them they are a numbered PDF that cannot be changed. After that, changes go out as bulletins.

Generate a draft

  1. On the events page, choose "Supp regs" for the event.
  2. Choose "Generate draft". The draft is copied from the current template for the event's sanctioning body.
  3. Read the note above the draft. Until the sanctioning body's own wording has been loaded, the draft uses Stagewerk's starter wording, which is generic. Check it with the sanctioning body before you issue it.

The text of the draft keeps its placeholders until you preview or issue it, so a change to the event (a new date or a new class) shows up in the preview at once.

Fill in what is missing

  1. Under "Draft", fill in the "Permit number", "Issue date", "Clerk of course", "Event secretary" and "Stewards". The clerk of course and event secretary come from the roster when someone has accepted that position, so you can leave them empty.
  2. Edit the text of the sections you are allowed to change. Sections you cannot edit are fixed by the template.
  3. Choose "Save draft".
  4. Look at "Still missing". Every item there blocks issuing. A section built from the event, such as the classes or the entry fees, is listed when the event has none entered.

The "Preview" at the bottom shows the document as it will be issued.

If the template has a newer version, the page says so. "Generate again from the template" replaces the draft with it. The section text you edited is lost; the fields you filled in are kept.

Send it for approval

  1. Under "Sanctioning body approval", record that you sent the draft: choose the date and "Record".
  2. When the sanctioning body answers, record the answer. If they approved it, enter the permit number they gave you; it is saved on the event. If they asked for changes, write down what they asked for.
  3. Make the changes, send the draft again and record that too. Every step stays in the history with who recorded it.

An approval covers the text of the draft as you sent it, and the permit number the body gave you. If you edit the draft or change the permit number afterwards, the page says the draft has changed since it was approved. You can still issue it, but the PDF then says it is not approved. The issue date is not part of what is approved, so setting it does not matter.

Stagewerk does not yet give the sanctioning body a screen to review the draft. You record their answer yourself.

Issue it

  1. When "Still missing" is empty, choose the issue button.
  2. Confirm. The issue is numbered, a PDF is made and the version is locked.

The PDF is added to the event's documents. It appears on the public event page and in each competitor's entry pack. An earlier issue is replaced in that list by the newest one, but you can still download it under "Issued versions" with "Download PDF". You cannot delete an issued PDF from the event's documents.

Change them after issue

You cannot edit an issued version. Send a bulletin with the change. Under "Issued versions" each issue lists the bulletins published since it, so everyone can see what amends it. You can also generate, approve and issue a new version, for example to consolidate the bulletins before the event.

If something goes wrong

  • The issue button is greyed out. Something is still in the "Still missing" list.
  • The permit number is not accepted. It must be entered, up to 100 characters.
  • You cannot record the answer. The draft has to be recorded as sent first.
  • You cannot see the page. Your role needs to be able to view events. Only owners and event secretaries can change anything on it.
