Send a bulletin
Write an official notice, choose who gets it, send it and check who has read it.
A bulletin is a numbered official notice, emailed to the people you choose and kept on record. Once published it cannot be changed.
Write and send one
- On the events page, choose "Bulletins" for the event.
- Under "New bulletin", fill in the "Title" and the "Text". The text is plain: paragraphs and line breaks are kept and web addresses become links. HTML is not accepted.
- Choose who gets it under "Who gets it":
- Tick classes under "Classes" to limit it to those entries.
- Tick "Roles" such as driver, co-driver or volunteers. Volunteers only receive it when you tick them.
- Tick "Entry status" to choose which entries are included. With nothing ticked, the crew of every entry that holds a place receives it.
- Watch the line below the boxes. It shows how many people the bulletin reaches, and how many cannot be emailed because their address is suppressed.
- Tick "Show on the public event page" if everyone, not just entrants, should see it.
- If it corrects an earlier bulletin, pick that one in "Replaces an earlier bulletin (optional)".
- Choose "Save draft".
- Open the draft with "Open". Check it, then choose "Publish and send" and confirm.
Publishing numbers the bulletin, emails the audience you saved and locks the text. Publishing uses the saved draft, so save your changes first. Use "Delete draft" to discard one you do not want.
Check who has read it
Open a published bulletin with "Receipts". You see how many were "Sent", "Not sent (suppressed)", "Read" and "Not read yet", and a table of who has read it.
- "Show only unread" narrows the table to people who have not opened it.
- "Resend to unread" emails it again to everyone who has not read it. You can do this once an hour.
- "Print version" opens a printable copy.
The "Bulletin register" in the print pack lists every bulletin issued, for the event record. See Produce the start order and print pack.
Correct a mistake
A published bulletin cannot be edited. Write a new one, tick the old one in "Replaces an earlier bulletin (optional)", and publish. Competitors see that it replaces the earlier one.
If something goes wrong
- The audience shows 0 people. Nothing matches the boxes you ticked. Untick a class or an entry status, or check entries have been accepted.
- Some people are not sent it. Their email address is suppressed, for example after bounces. Tell them another way.
- You cannot find "Publish and send". You are looking at a published bulletin, or your role cannot manage events.
