Work the entry list

Accept, waitlist and reject entries, give out numbers and seeds, and handle change requests, transfers and withdrawals.

Open the list from the events page with "Entries". It shows every entry for the event. Members without permission to manage entries can read the list but not change it.

Read the list

  • Across the top, "Places taken" shows accepted entries against the event cap, and each class against its own cap.
  • The "Status" buttons above the search box show how many entries are in each state. Press one to show only those. Press it again to clear it.
  • Type a driver, co-driver or vehicle in "Search" and use the "Class" menu to narrow the list. Choose "Search". "Clear filters" puts the whole list back.
  • Use "Sort by" and "Order" to sort the list.
  • "Details" opens a side panel. It starts with "Outstanding", what the entry is still waiting for, then your private note, any change requests and the entry's moves.

Accept, reject and move an entry

  1. Find the entry and choose "Change status".
  2. Pick what you want:
    • "Accept" takes the entry if there is room. If the class or event is full, it is waitlisted instead. See Classes, capacity and the waitlist.
    • "Reject" refuses the entry. A reason is required.
    • "Move to pending documents" and "Move to pending payment" tell the competitor you are waiting for something, which appears on their entry.
    • "Withdraw on driver’s behalf" withdraws the entry. A reason is required.
    • "Mark started", "Mark finished", "Mark DNF" and "Disqualify (DSQ)" record what happened on the day. A reason is required for DSQ.
  3. If a reason is asked for, type it in "Reason" and choose "Confirm". The reason is kept in the entry history.

Only the moves that are allowed from the entry's current state are listed, so an entry in an unexpected state may show fewer actions.

Act on many entries

  1. Tick the boxes at the start of each row, or "Select all on this page".
  2. Use the buttons that appear: "Accept", "Reject", "Move to pending documents" or "Move to pending payment".
  3. Up to 200 entries can be changed at once.

Competition numbers

  • To set a number by hand, type it in the "No." cell and click away. It must be inside the event's range and unused.
  • To fill the rest, choose "Assign numbers" at the top. It gives a number to every entry in the field that has none, in seed order then submission order. A registered series driver gets their permanent number first if it is free and in range. Numbers already set are not changed.

Seeds

Seeds set the start order. Within the class you filtered to (or the whole event if none), use the up and down arrows beside a seed to move an entry one place, or type a position in the "To" box and press Enter. See Produce the start order and print pack.

Change requests

When a competitor asks for a change, the list shows a box headed with the number of open change requests, and the entry is marked "(change request)".

  1. Choose "Open" beside the request.
  2. Make the change if you agree (see Transfers below), or leave it.
  3. In "Close as" choose "Done" or "Declined", write a reply in "Reply the competitor will see", and choose "Close request".

Transfers: change the car, co-driver or class

  1. Open the entry with "Details".
  2. Open "Change vehicle, co-driver or class".
  3. Pick a new "Vehicle", "Co-driver" or "Class". Leave the others on "keep". The driver cannot be changed.
  4. To close a request at the same time, pick it in "Close a change request as done".
  5. Give a "Reason (kept in the entry history)" and choose "Apply change".

The system re-checks the car's eligibility, the crew link and the capacity of the class. Move the entry only while it is submitted, waiting, accepted or waitlisted.

Withdrawal decisions

When an entry is withdrawn, the system records what the event's policy says it is worth, shown in the side panel under "Withdrawal decision".

  1. Check the outcome and amount.
  2. If it is right, choose "Approve as calculated".
  3. If it should be different, open "Change the amount or outcome", pick the "Outcome", enter the "Amount", give a "Reason (kept in the audit log)" and choose "Save change".

Recording or approving a decision does not move money. See Fees and the withdrawal policy. The competitor sees the result under "Your withdrawal" on their entry.

Your private note

In the side panel, "Organiser note" with "Save note" is for your team only. Competitors never see it.

If something goes wrong

  • You cannot see "Change status". Your role cannot manage entries.
  • "Assign numbers" left some entries without a number. The range ran out. Widen it on the event.
  • Moving a seed fails with a message about the list. The page was out of date. Reload and try again.
  • A competitor says they cannot sign. Signing stays open for an accepted entry until the day before the event starts. After that, or once an entry is waitlisted, rejected or withdrawn, it is closed. Tell them to sign online if the event has not started, or to bring a paper form to documentation. See Documentation day runbook for how to deal with it at the table.
