Event day runbook

Control sheets, time cards, scrutiny tags and how to handle late withdrawals on the day.

This covers the paper and the changes you will meet on the day. Results are not part of this guide.

Before the first car

  1. Move the event to Running when it starts. See Open and close entries.
  2. Print the start order again if anything changed after documentation. See Produce the start order and the print pack.
  3. Hand out the paper:
    • Control sheets, one page per control, with cars in start order and blank time columns. Name the controls in "Controls (comma list)" before you print.
    • Time cards, one per entry, four to a page. Set "Stages per time card" to the number of stages.
    • Scrutiny tags, one per entry, eight to a page. A tag lists safety items that need attention, such as an expired item, so scrutineers know what to look at.
    • The Itinerary, for officials and competitors.

Scrutiny

  1. Give each car its tag as it arrives.
  2. Read the "Check:" line on the tag. It lists safety items on the vehicle record that are expired or close to it.
  3. Check the car and the items. If something fails, follow your sanctioning body's rules and write what you did on the tag.
  4. If a competitor shows a new certificate, ask them to update the safety item on their vehicle, or tell the secretary.

Mark entries as they start and finish

In the entry list, use the "Change status" menu: "Mark started", "Mark finished", "Mark DNF" and "Disqualify (DSQ)". A reason is required for a disqualification. See Work the entry list.

Late withdrawals

  1. If a competitor tells you they will not start, open the entry and choose "Withdraw on driver’s behalf" from "Change status", with a reason. Competitors can also withdraw from their own entry page while it is live.
  2. A withdrawn entry drops out of the start order and the cars behind move up. Reprint the start order, and tell the starters.
  3. Under "First paid, first in", the oldest waitlisted entry is accepted automatically when an accepted entry is withdrawn. Check the entry list and contact them. Under "Ballot", nothing happens until you choose. See Classes, capacity and the waitlist.
  4. The withdrawal creates a decision to review. Do it after the event if you are busy. See Fees and the withdrawal policy.

Late changes on the day

Use "Change vehicle, co-driver or class" on the entry with a reason, then reprint the tag and the start order. Send a bulletin if other competitors need to know. See Send a bulletin.

If something goes wrong

  • A car is on the control sheet but not at the event. Withdraw their entry and reprint.
  • A car is at the event but not on the sheets. Their entry is not accepted. Check the entry list.
  • You printed before the numbers were final. Reprint. The pack always uses the current entry list.
